Pre-Registration

Pre-Registration: Create invite

In order to smoothen the check-in process on-site, Visitors can be requested to pre-register for the visit. The host invites the visitor through Email and adds (for example) taps@visit.enidma.com as an additional email address. This triggers an email to the visitors with a pre-registration link.

Host adds (for example) taps@visit.enidma.com as an additional email address to the calendar invite.

Visitor receives email with request to register his visit.

Clicking the link in the email, opens a browser window for the visitor with the visitor registration form.

Pre-Registration: Receive confirmation

Once the visitor completed the registration, he/she receives a confirmation email with a QR code.

The host also receives a confirmation email, confirming that the visitor completed the registration for the visit successfully.

*NOTE: QR code only valid on day of visit The registration is only valid for the day of visit until the end of the scheduled meeting. If the visitor arrives after the end of the meeting, he/she needs to register as a walk-in visitor onsite. However, the system already has all the visitor information saved and thus, onsite registration will be also faster for those visitors.

Pre-Registration Onsite Check-in

Pre-registered visitors have to still check-in onsite by either:

A. scanning or entering their phone number at the iPad Kiosk or by

B. presenting their QR code or providing their phone number to the security guard.

Onsite, visitor has to check-in his/her visit using either his QR code or phone number.

Once visitor checked-in, the host receives a notification email about the arrival of the visitor.

Pre-Registration For Admin

In order to smoothen the check-in process on-site, Visitors can be requested to pre-register for the visit. In order to do so, there are two options:

  1. Host adds (for example) taps@visit.enidma.com as an additional email address to the calendar invite.

  1. Clicking the link in the email, opens a browser window with the visitor registration form.

  1. Once the visitor completed the registration, he/she receives a confirmation email with a QR code.

  1. The host also receives a confirmation email, confirming that the visitor completed the registration for the visit successfully.

OPTION 2 for Pre-Registration: CREATION OF INVITE Admin staff, System administrator or hosts with system access, can create pre-registration invitations and links using the web browser dashboard.

  1. In “Visits”, create a new meeting for when the visit is supposed to take place.

  1. Step 2: Create the meeting, and

    1. enter the email address of the visitors

    2. upload a CSV file with visitor email addresses or

    3. simply create a pre-registration link to be shared with the visitors without entering an email address.

    4. For visitors with email address: Visitor receives email with request to register his visit.

    5. For visitors without email address: Host need to share with them the registration link created in the system, which is e.g.: https://link.enidma.com/12345

Once the visitor completed the registration, he/she receives a confirmation email with a QR code, if the email address was also used for the invite creation. If the meeting invitation was created using the dashboard without the email address but only the registration link, the visitor does not receive a registration confirmation email.
